Terms & Conditions

Last Updated: September 2026

Welcome to Arras Vacation Rentals. These Terms & Conditions apply to reservations made with Arras Management, LLC, doing business as Arras Vacation Rentals (“Arras Vacation Rentals,” “Arras Management,” “we,” “us,” or “our”).

By making a reservation, submitting payment, signing a Rental Agreement, or occupying one of our vacation rental properties, you acknowledge and agree to the applicable terms, policies, and conditions governing your reservation.

Your individual reservation may also be subject to a Rental Agreement, property-specific rules, addenda, third-party booking platform terms, and other policies provided during the booking process. In the event of a conflict, the terms specifically applicable to your confirmed reservation will control.

  1. Reservations and Guest Requirements

The individual making the reservation is considered the primary guest and must be at least 21 years of age. The person placing the reservation must also be the authorized holder of the credit or debit card used for payment.

The primary guest is responsible for the conduct of all occupants, visitors, and invitees associated with the reservation and for ensuring that everyone in the party complies with applicable property and building rules.

Reservations obtained using false or misleading information may be canceled, and the guest may be denied check-in.

  1. Payments

For direct reservations made more than 30 days before the scheduled check-in date, 50% of the reservation total may be required at booking, with the remaining balance due according to the terms provided with the reservation.

Reservations made within 30 days of check-in generally require payment in full at the time of booking.

Reservations made through third-party platforms, including Airbnb, VRBO, Booking.com, or other distribution partners, may be subject to different payment schedules and requirements established by those platforms.

Applicable taxes and fees are charged according to the rates in effect for the reservation. Changes in applicable tax rates may be reflected on the final invoice when permitted or required.

  1. Cancellation Policy

Unless otherwise stated in your reservation or required by the booking platform through which you reserved, our direct-booking cancellation policy is:

  • More than 14 days before check-in: Eligible for a full refund.
  • 7 to 14 days before check-in: Eligible for a 50% refund.
  • Less than 7 days before check-in: Payments are forfeited, subject to any applicable refund of cleaning fees for a full cancellation.

Early departure does not qualify for a refund.

If your reservation was made through a third-party booking platform, the cancellation policy presented by that platform at the time of booking applies.

We strongly recommend purchasing travel insurance to protect against unexpected circumstances that may affect your trip.

  1. Check-In and Check-Out

Standard check-in time is 4:00 PM, and standard check-out time is 10:00 AM.

Early check-in and late check-out may be available depending on other reservations and the housekeeping schedule and must be approved in advance. Additional fees may apply.

Guests should not enter or occupy the property before their approved check-in time or remain in the property beyond their approved check-out time. Unauthorized early arrivals or late departures may result in additional charges.

Specific arrival instructions, access information, and departure instructions will be provided before or during your stay.

  1. Property Use and Occupancy

Vacation rental properties may only be used for lawful residential vacation purposes unless Arras Management has provided prior written authorization for another use.

Guests may not exceed the maximum occupancy established for the property.

Guests are expected to respect neighboring residents, hotel guests, building employees, other vacation rental guests, and common areas throughout the Arras building.

Excessive noise, disruptive behavior, unauthorized access to restricted areas, violation of building rules, or other conduct that interferes with neighboring occupants may constitute a violation of the Rental Agreement and may result in additional charges or termination of the stay.

  1. Property Damage and Additional Charges

Guests are financially responsible for damage caused to the rental property, furnishings, fixtures, contents, common areas, or other property during their stay beyond ordinary wear and tear.

Additional charges may be assessed for circumstances including, but not limited to:

  • Damage to the property or its contents;
  • Lost or damaged keys, access devices, linens, or other property;
  • Excessive cleaning;
  • Unauthorized early check-in or late check-out;
  • Violation of property, building, or house rules; or
  • Other costs resulting from the actions of the guest or the guest’s occupants, visitors, or invitees.

Arras Management may charge the payment method associated with a direct reservation when authorized under the Rental Agreement. For reservations made through third-party platforms, additional charges may be requested or processed through the applicable platform.

Guests will be notified when damages, fines, or additional charges are assessed in accordance with the applicable Rental Agreement.

  1. Smoking

Our vacation rental properties are non-smoking.

Smoking inside a rental property is prohibited and may result in a $500 fee, in addition to any costs associated with cleaning or damage.

  1. Pets

Pet policies vary by property. Guests must confirm that a property is designated as pet-friendly before bringing a pet.

Where pets are permitted, applicable pet fees, restrictions, and rules apply. Our current Rental Agreement permits up to two qualifying dogs in designated pet-friendly properties and requires compliance with the applicable Pet Policy Addendum.

Bringing a pet into a property designated as non-pet-friendly may result in a $500 fee and any additional cleaning or damage charges.

Service animals will be handled in accordance with applicable law.

  1. Housekeeping

Rental properties are professionally prepared before arrival. Daily housekeeping is not included unless specifically stated in your reservation.

Additional or mid-stay housekeeping may be available for an additional charge and must be arranged through Arras Management.

Guests staying more than 30 days may be subject to required periodic inspections and housekeeping services as provided in their Rental Agreement.

  1. Maintenance and Amenities

Arras Management and the property owner endeavor to provide each rental property in fit and habitable condition and to maintain appliances, utilities, furnishings, internet service, HVAC systems, and other amenities.

Occasional equipment, utility, internet, appliance, or building-system failures may occur. Guests should report maintenance issues promptly so that we can make reasonable efforts to address them.

Unless otherwise required by applicable law or the Rental Agreement, Arras Management and the property owner are not responsible for temporary interruptions or failures of appliances, amenities, internet service, utilities, HVAC systems, or other building systems.

  1. Downtown Location and Outside Noise

Our vacation rentals are located in downtown Asheville within a mixed-use building containing residences, hotel accommodations, restaurants, and vacation rentals.

Guests should expect the normal sights and sounds associated with a downtown environment. These may include traffic, construction, emergency vehicles, public events, nearby businesses, and other city activity.

Outside noise beyond our reasonable control does not ordinarily constitute grounds for a refund.

  1. Building and Common Areas

Guests must comply with applicable rules governing the Arras building and its common areas.

Guests should not enter residential, employee-only, secured, or other non-public areas unless specifically authorized.

Security cameras may be located at building entrances, elevators, and other common areas for security purposes. Arras Management does not place cameras inside its vacation rental properties.

  1. Outside Vendors

Guests wishing to bring outside vendors onto the property, including photographers, chefs, event professionals, or other service providers, must obtain prior approval from Arras Management.

Arras Management may require vendors to provide appropriate proof of insurance and may impose additional conditions or charges.

  1. Right of Entry

Arras Management may enter or inspect a rental property when reasonably necessary to address maintenance, emergencies, suspected violations, property protection, or compliance with the Rental Agreement, subject to applicable law and reasonable notice when circumstances permit.

  1. Weather, Travel Conditions, and Events Beyond Our Control

Weather, road conditions, natural disasters, public events, government actions, and other circumstances outside the reasonable control of Arras Management may affect travel.

Unless otherwise required by law or specifically provided in your reservation terms, refunds are not provided solely because of weather conditions, road conditions, natural events, or other circumstances when the rental property remains fit and habitable.

Guests must comply with mandatory evacuation orders and government-imposed travel restrictions.

Travel insurance is strongly recommended.

  1. Packages and Personal Property

Guests are responsible for personal belongings during their stay.

Arras Management and property owners are not responsible for lost, stolen, delayed, misdirected, or damaged packages or personal property except as otherwise required by law.

Arrangements may be available to return items left behind after departure. Handling and shipping fees may apply. Unclaimed items may be disposed of after the period specified in the Rental Agreement.

  1. Assumption of Risk and Liability

Guests and their invitees use the rental property, building amenities, common areas, furnishings, and other facilities at their own risk, subject to applicable law.

Certain property features or amenities may require additional liability waivers or acknowledgments. Guests are responsible for following posted instructions, building rules, safety requirements, and the terms of any applicable waiver or addendum.

The complete liability, indemnification, and hold-harmless provisions applicable to a reservation are contained in the Rental Agreement and any applicable addenda.

  1. Third-Party Booking Platforms

Reservations made through third-party websites or booking platforms may be subject to additional or different payment, cancellation, refund, damage, and dispute policies.

Where applicable, guests are also responsible for complying with the terms and conditions of the third-party platform used to make the reservation.

  1. Property Availability and Changes

Arras Management represents individually owned vacation rental properties on behalf of their respective owners. Ownership, management arrangements, and property availability may change.

If circumstances outside our reasonable control prevent us from providing the reserved property, the rights and remedies available to the guest will be determined by the applicable Rental Agreement, North Carolina law, and, when applicable, the terms of the booking platform.

  1. Website Information

We make reasonable efforts to ensure that property descriptions, photographs, rates, amenities, availability, and other information presented on our website are accurate.

Property furnishings, décor, amenities, building operations, and other details may change over time. Minor variations that do not materially affect the accommodation may occur.

Rates, availability, minimum-stay requirements, fees, and promotions are subject to change until a reservation is confirmed.

  1. Dispute Resolution and Governing Law

The Rental Agreement provides that disputes that cannot be resolved directly between the parties will be submitted to formal mediation before legal action is filed.

If legal action becomes necessary, the agreement provides that the matter will be governed by the laws of the State of North Carolina, with venue in Buncombe County, North Carolina, subject to applicable law.

Additional provisions concerning attorneys’ fees, costs, property owners’ rights, and dispute resolution are contained in the Rental Agreement.

  1. Rental Agreement and Additional Policies

These website Terms & Conditions provide general information concerning policies applicable to Arras Vacation Rentals reservations. They do not replace the Rental Agreement issued for an individual reservation.

Depending on the property and reservation, guests may also be required to acknowledge or agree to additional documents, including:

  • Property-specific house rules;
  • Pet Policy Addendum;
  • Liability Waiver Addendum;
  • Residential Area Addendum; and
  • Other reservation-specific terms or disclosures.

Guests should carefully review all documents provided during the reservation process.

  1. Changes to These Terms

Arras Management may update these website Terms & Conditions from time to time. Changes will be reflected by the “Last Updated” date appearing at the top of this page.

The terms applicable to an existing confirmed reservation will be determined by the reservation documents and policies applicable to that reservation.
